Stage 01

Confirm whether due diligence applies

What the user does

The assessor selects the tariff classification and answers guided questions about timber content, packaging, recycled material and consignment value.

What the system does

The system produces a preliminary scope result, explains why it reached that result and directs the user to continue, retain exemption evidence or pause for review.

OutputRecorded scope decision and supporting basis
02

Stage 02

Build the product and supplier record

What the user does

The assessor records every timber component, species and origin, then adds the current supplier, shipment quantity and sales or delivery reference.

What the system does

Common options, linked species names and country lists reduce free text while preserving an ‘Other’ path when the exact answer is not listed.

OutputComplete product, timber, supplier and shipment information
03

Stage 03

Attach and check the evidence

What the user does

The assessor uploads the current documents relied upon and explains what each file supports. Missing or conflicting information is recorded rather than guessed.

What the system does

Each file remains connected to the assessment and appears in the final evidence index.

OutputEvidence index and information-gap record
04

Stage 04

Assess, mitigate and conclude risk

What the user does

The assessor follows the repeat-import, certified or non-certified pathway, records current findings and completes proportionate mitigation if low risk cannot initially be concluded.

What the system does

The workflow displays the relevant questions, prevents unsupported shortcuts and carries the conclusion into the review stage.

OutputWritten risk conclusion and mitigation record
05

Stage 05

Review, approve and retain

What the user does

An authorised approver reviews the assessment and evidence, approves it or returns it for more information, and the actual import date is recorded after import.

What the system does

The final record brings together the information, evidence, decision, approval and audit history for retrieval and retention.

OutputApproved due-diligence record with audit history
